Scheduling and time tracking for warehousing and logistics
Shifts covering morning, evening and night, peaks that arrive with the season and a premium on a large share of the time. Timply lays out the shift schedule and turns the actual time into a payroll record that adds up.
- Size
- 10 to 150 employees per site, with extra staff during seasonal peaks
- Shift pattern
- Shifts covering morning, evening and night, longer hours ahead of holidays and campaigns, and shifts filled at short notice at volume peaks
- What payroll has to handle
- Premiums on evening and night shifts, additional hours during seasonal peaks, and shifts that run past midnight
Conditions
The shifts cover morning, evening and night.
A night shift starts on one day and ends on the next.
A large share of working time falls inside a premium window.
Volume peaks are staffed with extra people on different terms.
Staff pass the same entrance at a shift change.
How Timply is used in this industry
Evening and night premiums worked out at the clock-in
You set which times and weekdays carry a premium and which code each category is booked to. A night shift is allocated across the right categories automatically, however it falls across midnight.
The shift schedule published to the phone
Lay out the week's shifts and publish. Everyone sees their own shift on their phone the same second, and shifts with nobody on them are marked in the schedule view before the week starts.
A terminal at the entrance or a phone in a pocket
The time clock works in the mobile app and in the browser, so a shared terminal at the entrance works as well as a personal phone.
The peak's overtime, chosen as it arises
Time beyond the schedule is worked out at the moment of recording, and the employee chooses payment or time off in lieu. The choice becomes ÖT1 or ÖK1 all the way to the payroll file.
One payroll record for the whole site
Hours worked, premiums per category, overtime, additional hours and absence are totalled per employee with the right code. You download a PAXml 2.0 file and import it into payroll.
The shifts cover the day
A warehouse running morning, evening and night carries a premium on a large share of its time. Worked out by hand that becomes a recurring evening for somebody, and that evening comes back every month.
Timply works the premium out as the time is recorded. You set which times and weekdays carry one and which code each category is booked to. A shift that starts at 22:00 and ends at 06:00 is allocated across the right categories without anybody splitting it afterwards.
The shift is allowed to cross midnight
A night shift is one shift, not two. Timply records it as one shift with its actual start and its actual end, and allocates the hours across the premium windows they fall inside.
That also makes deviations meaningful. If the shift ran twenty minutes over, it is compared against the scheduled shift rather than against a calendar day.
Peaks are filled with people on different terms
Ahead of a campaign or a season the schedule fills with extra staff. Their level of employment differs from that of the permanent staff, and the line between additional hours and overtime falls at the full-time measure.
Timply sets that measure per employee. Hours up to it are booked as additional hours on MER, hours above it as overtime on ÖT1 or time off in lieu on ÖK1 depending on what the employee chose when recording.
One terminal is enough
Staff at a warehouse pass the same entrance. The time clock works in the browser, so a shared terminal there is enough for a whole shift, and anybody who would rather use their phone does it in the app.
The entry carries straight through to the time report and to the payroll record with no intermediate step, which is the difference from a list that has to be interpreted afterwards.
Common questions
Are shifts that run past midnight handled?
Yes. A shift that starts on one day and ends on the next is recorded as one shift, and the hours are allocated to the right premium category using the times you have set.
Does every employee need their own phone?
No. The time clock works in the browser, so a shared terminal at the entrance works as well as the mobile app.
Can staff swap shifts with each other?
In Pro an employee can hand a shift over to a named colleague, and the schedule updates when the handover is approved.
Does it work for extra staff in season?
Yes. The full-time measure is set per employee, so additional hours and overtime are calculated individually even when the terms differ from those of the permanent staff.
Do we see which shifts are unstaffed ahead of a peak?
Yes. Published shifts with nobody assigned are marked in the schedule view for the whole week, before the week starts.
More features
OB, split by the hours and weekdays you set
You enter the windows your collective agreement uses. Timply divides every clocked hour between them and books each part to the payroll code it belongs to.
Lay out the week and publish it
Create shifts, staff them and see straight away which ones are unstaffed. Everyone gets their own schedule on their phone the second it is published.
A digital time clock in the phone or on a shared terminal
Staff clock in and out in the app or the browser. The time is recorded against the server as it happens, so it is not written down and typed up later.
Overtime or time off in lieu, chosen when the hours are recorded
The employee picks payment or time off at the moment the overtime is recorded, and the choice carries through to the payroll file as ÖT1 or ÖK1.
