Time tracking for staffing and temporary work agencies
Staff out at several clients in the same week, short assignments and levels of employment that differ between everybody. Timply turns the actual time into one payroll record per employee.
- Size
- 10 to 200 employees, with many short assignments and a lot of movement between clients
- Shift pattern
- Assignments at different clients in the same week, shifts filled at short notice, and evening or weekend work depending on the client's business
- What payroll has to handle
- Hours from several assignments on one payslip, individual full-time measures, and premiums that vary with the client
Conditions
The same employee works at several clients during a period.
The level of employment differs between essentially every employee.
Assignments are filled at short notice.
Working hours follow the client's business rather than your own.
The hours need to be traceable per assignment and totalled per employee.
How Timply is used in this industry
The assignments sit in a schedule
Lay out the shifts and publish. Staff see their assignments on their phone the same second, and you see which shifts are not yet filled.
Clocking in at the client
Staff clock in on their phone at the assignment's address and out when the shift ends. If the clock-in has to have happened on site you switch on location validation, and both ends are checked.
A full-time measure per employee, not per company
The level of employment is set individually, and Timply uses it to separate additional hours from overtime. That is the only way the line comes out right when almost everybody is on a different level.
An assignment is a project
In Pro assignments are set up as projects with participants, and the time is booked where it was worked. The report shows the hours per assignment and per employee for the period you choose.
One file, however many clients the person was at
Hours worked, premiums, overtime, additional hours and absence are totalled per employee and already carry their payroll code. You download a PAXml 2.0 file and import it into payroll.
Assignments, clocking in and leave on the phone
Staff need no computer to see their next assignment, clock in or request leave, which is what matters when the workplace changes several times a week.
One person, several workplaces, one payslip
The core of staffing is that the same employee works at different clients during the same period, and that it still has to come out as one payslip at the end of the month.
Timply holds the schedule and the actual time on the person, not on the client. The hours are totalled across every assignment in the period, and each hour already carries its payroll code when the record is exported.
The full-time measure is individual
In a business where almost everybody is on a different level of employment, overtime cannot be counted against a shared threshold. Additional hours are the hours up to the full-time measure, overtime is the hours above it, and the measure differs between people.
Timply sets the full-time measure per employee and uses it at every recording. Additional hours are booked on MER, paid overtime on ÖT1 and time off in lieu on ÖK1 depending on what the employee chose when the time arose.
Shifts are filled at short notice
An assignment that has to be staffed tomorrow morning does not survive a printed schedule. You lay out the shift and publish, and the person sees it on their phone the same second.
Shifts that are not yet filled are marked in the schedule view for the whole week.
The assignment can be a project
If you want to see how many hours went in at a single client, the assignment is set up as a project in Pro, with participants. The time is booked to the project as it is clocked.
The report then shows the hours per assignment and per employee for the period you choose, and the same record exports to Excel for review before payroll runs.
Common questions
Can we see how many hours were worked at a particular client?
Yes, in Pro. The assignment is set up as a project with participants, and the time is booked to the project. The report shows the hours per assignment and per employee for the period you choose.
Does it work when everybody is on a different level of employment?
Yes. The full-time measure is set per employee, so the line between additional hours and overtime is calculated individually rather than against a single figure.
How quickly do staff see a new shift?
As soon as you publish. The schedule is in the mobile app, and the change is visible the same second it is made.
Can staff clock in at different addresses?
Yes. The time clock is on the phone, and with location validation switched on the entry is checked against a geofence around the assignment's address.
Is it one payroll file per client or per employee?
Per employee. The hours are totalled across every assignment in the period and exported as one record, with each hour on the right code.
More features
Lay out the week and publish it
Create shifts, staff them and see straight away which ones are unstaffed. Everyone gets their own schedule on their phone the second it is published.
Overtime or time off in lieu, chosen when the hours are recorded
The employee picks payment or time off at the moment the overtime is recorded, and the choice carries through to the payroll file as ÖT1 or ÖK1.
Reports with a column per figure, and an Excel export
One row per day and employee, with scheduled time, worked time, the difference, additional hours, overtime, time off in lieu and a column per shift differential category.
The Timply app for iPhone and Android
Clock in, see your schedule, request leave and read messages from work. The app is included in every plan at no extra cost per user.
